Five Approval Steps for a Smoother Music Delivery Workflow
A track may be finished while its delivery is still unclear. Different reviewers request conflicting changes, nobody can identify the approved mix, or the artwork and audio filenames disagree. A shared approval sequence helps labels and production teams avoid these problems. This workflow covers the handover from mix review to delivery, rather than the initial creative brief. It also makes the approved package easier for international partners to understand.
1. Separate technical review from release approval
Identify who reviews the sound and who approves the overall release. When artists, directors and label staff are involved, agree whose response allows work to move forward. Distinguish an acknowledgement from an explicit approval of a named version.
2. Consolidate feedback into one list
Assign a single coordinator. Record the track, version, timestamp, issue and desired direction for every requested change. A note such as 'the vocal is difficult to hear at 2:10' identifies the issue without prescribing an engineering solution. Resolve conflicting comments before sending the consolidated list.
3. Make versions and decisions traceable
Use filenames that identify the work, version and update date. Avoid relying on 'final' and 'final2'. Keep a record pointing to the approved version, separate review copies from delivery files and notify collaborators when an older version must no longer be used.
4. Check the package against the recipient's requirements
Confirm delivery specifications with the recipient. Review beginnings and endings, silence, sequence, file readability and consistency between titles and credits. Provide instrumentals or stems only when they are within the agreed scope, rather than assuming additional assets are required.
5. Add a concise international handover note
Include the approved asset link, consistent English names, contact person and permitted publication date with its time zone. Do not present unconfirmed usage conditions as settled facts: identify who can clarify them. Record acknowledgement of receipt so the team knows the package reached the right person.
